At Always Memorial LLC, we help individuals and families preserve stories, voices, photographs, recordings, documents, and other memories for future generations.

Providing this service requires us to store, process, organize, analyze, and, in some circumstances, review information submitted by our users. We may also use information submitted through our services to train, test, evaluate, develop, and improve artificial intelligence and other technologies used by Always Memorial LLC.

This Privacy Policy explains what information we collect, how we use it, how members of the Always Memorial LLC team may access it, how artificial intelligence is used, how information may be used for AI training and improvement, and the choices available to you and your family.

By using Always Memorial LLC services, you acknowledge that information you provide will be collected, processed, accessed, and used as described in this Privacy Policy.

Because family memories may contain personal or sensitive information, you should only provide information that you have the right or appropriate permission to share.

Transcripts and Information Created From Your Content

We may process information you submit to create additional materials that help operate and organize your Always Memorial LLC experience. For example, we may create:

  • Audio or video transcripts
  • Titles
  • Summaries
  • Story descriptions
  • Categories
  • Tags
  • Dates and other metadata
  • Search indexes
  • Vector embeddings or similar technical representations
  • Suggested questions
  • Relationships between stories or people
  • Other information generated or derived from your submitted content

These materials may be created automatically through software or artificial intelligence, manually by Always Memorial LLC personnel, or through a combination of automated and human processes.

Voice Information

If you participate in a feature that uses synthetic or generated voice technology, we may collect and process audio recordings and other voice information necessary to create and operate that feature. Depending on the service selected, this may include creation or management of a synthetic voice profile based on recordings of an individual. We may require consent or other authorization before enabling certain voice features.

Questions and Conversations

When you interact with an Always Memorial LLC experience, including a Living Legacy or other conversational feature, we may collect:

  • Questions you ask
  • Prompts you submit
  • Generated responses
  • Feedback
  • Conversation history
  • Information about how the feature was used

We may use this information to operate, evaluate, troubleshoot, train, develop, and improve the service and the technologies supporting it.

Technical and Usage Information

We may automatically collect information related to use of the service, such as:

  • Device and browser information
  • IP address
  • Login activity
  • Dates and times of access
  • Feature usage
  • Error and diagnostic information
  • Other information necessary to maintain, secure, evaluate, and improve our systems

2. How We Use Information

We may also use information submitted to Always Memorial LLC to train, fine-tune, test, evaluate, develop, and improve the artificial intelligence, machine-learning systems, and other technologies used in our services. This may include customer stories, recordings, transcripts, questionnaire responses, prompts, conversations, generated responses, feedback, metadata, and other information submitted through or created in connection with the service.

We may use this information to:

  • Create and maintain customer accounts
  • Preserve family stories and memories
  • Store recordings, photographs, documents, and other materials
  • Transcribe audio and video
  • Organize and categorize memories
  • Generate titles, summaries, and descriptions
  • Make family archives searchable
  • Retrieve relevant memories in response to questions
  • Generate conversational responses
  • Provide voice and synthetic voice features
  • Train, fine-tune, test, evaluate, develop, and improve artificial intelligence and machine-learning systems
  • Create Digital Keepsakes and other exports
  • Manage account permissions
  • Provide customer service and technical support
  • Review the quality and accuracy of transcripts, summaries, AI responses, and other features
  • Test and troubleshoot our software
  • Investigate errors and technical problems
  • Develop, evaluate, and improve Always Memorial LLC products and services
  • Train and support personnel responsible for providing the service
  • Protect against misuse, fraud, security incidents, or unauthorized activity
  • Maintain our technical infrastructure
  • Conduct internal business operations
  • Comply with legal requirements
  • Enforce our agreements and policies

Because the Always Memorial LLC service combines technology with human-assisted memorial preservation, some of these activities may involve human review of information submitted by users.

3. Human Access to Your Information

Always Memorial LLC Personnel May Access Customer Content

Always Memorial LLC operates and administers the systems in which customer information is stored. As a result, authorized Always Memorial LLC employees, contractors, administrators, and other personnel may have the ability to access information submitted to the service.

Depending on the reason for the access, this may include the ability to:

  • Read written stories and transcripts
  • Listen to audio recordings
  • View photographs or documents
  • Review questionnaire and interview responses
  • Review prompts and AI-generated responses
  • Review account and family information
  • Review metadata and other information associated with an archive
  • Access information through our administrative or backend systems

Customers should understand that information submitted to Always Memorial LLC is not stored in a manner that makes it technically inaccessible to Always Memorial LLC personnel.

Why We May Review Customer Information

Always Memorial LLC personnel may access or review customer information when reasonably related to operating our business or providing, maintaining, evaluating, developing, training, or improving the service. Examples include:

  • Setting up or administering an account
  • Assisting with creation of a memorial or Living Legacy
  • Organizing or preparing stories
  • Reviewing transcript quality
  • Reviewing summaries or other generated materials
  • Evaluating AI-generated responses
  • Creating or reviewing training data
  • Evaluating or improving AI systems
  • Checking the accuracy or presentation of memorial content
  • Performing quality assurance
  • Testing new or existing features
  • Improving the customer experience
  • Investigating technical problems
  • Responding to customer support requests
  • Correcting errors
  • Migrating or restoring information
  • Creating exports or Digital Keepsakes
  • Investigating suspected misuse or security issues
  • Protecting the service and its users
  • Performing internal administrative functions
  • Complying with applicable law
  • Other legitimate business purposes related to providing, maintaining, developing, training, evaluating, or improving Always Memorial LLC services

Human access is therefore not limited solely to situations in which a customer specifically asks us to review the information. For example, we may review selected transcripts, stories, recordings, prompts, conversations, or generated responses as part of quality assurance, AI training, testing, evaluation, or product development.

4. How We Handle Information Internally

Information submitted by customers may be processed through Always Memorial LLC's internal systems and through third-party systems that help us provide, maintain, evaluate, train, and improve the service.

Within Always Memorial LLC, information may be available to personnel whose responsibilities involve areas such as:

  • Customer onboarding
  • Memorial development
  • Story organization
  • Customer service
  • Engineering
  • Product development
  • Quality assurance
  • Artificial intelligence training and evaluation
  • Data administration
  • Security
  • Account management
  • Company operations

We may establish different levels of administrative or technical access depending on an individual's responsibilities.

We expect employees, contractors, and other personnel handling customer information to use that information for legitimate company purposes and to handle it appropriately. Customer information should not be used by personnel for unrelated personal purposes.

5. Artificial Intelligence

Always Memorial LLC uses artificial intelligence, machine learning, and other automated technologies to help preserve, organize, search, retrieve, and present family memories.

AI may be used to:

  • Generate transcripts
  • Summarize memories
  • Create titles or descriptions
  • Identify topics and relationships
  • Organize information
  • Create search indexes or embeddings
  • Retrieve relevant memories
  • Suggest questions
  • Generate conversational responses
  • Assist with voice generation
  • Evaluate and improve service performance
  • Train and fine-tune models and systems
  • Support other features of the Always Memorial LLC service

Original and Generated Content

We want users to understand the difference between historical source material and information created or modified with technology. An Always Memorial LLC experience may contain:

  • An original recording made by the storyteller
  • A transcript created from that recording
  • A summary created from the transcript
  • Information entered or edited by Always Memorial LLC personnel
  • Information entered or edited by an authorized family member
  • An AI-generated response based on information in the archive
  • Synthetic audio generated through an authorized voice feature

Generated responses should not be understood as new historical statements made by the person being memorialized.

We design Living Legacy experiences to use available archive information as an important source when generating responses. However, artificial intelligence systems can produce inaccurate, incomplete, or unexpected results. Generated responses should be considered in that context and should not be treated as verified historical fact unless supported by original source material.

6. Use of Your Information for AI Training and Improvement

Always Memorial LLC uses information submitted by our users to train, fine-tune, test, evaluate, develop, and improve artificial intelligence, machine-learning systems, and other technologies used to provide the Always Memorial LLC service.

Depending on the features you use, information used for these purposes may include:

  • Stories and written memories
  • Audio and video recordings
  • Transcripts
  • Questionnaire and interview responses
  • Photographs or documents, where applicable
  • Prompts, questions, and conversations
  • AI-generated responses and summaries
  • Corrections, edits, ratings, and other feedback
  • Metadata and information derived from submitted memories
  • Search and retrieval information
  • Other content or information you provide through Always Memorial LLC

How Training Works

We may use customer information to help our systems better understand, organize, retrieve, summarize, and present family memories and to improve the accuracy, quality, safety, and functionality of our products. For example, information from customer archives may be used to:

  • Improve transcription quality
  • Improve how memories are categorized and retrieved
  • Evaluate whether generated responses accurately reflect available memories
  • Improve conversational features
  • Develop and improve memory-search technology
  • Improve voice and audio features, where applicable
  • Test existing or new artificial intelligence features
  • Create or improve training and evaluation datasets
  • Train or fine-tune models and systems used by Always Memorial LLC

These activities may involve automated processing as well as review by authorized Always Memorial LLC personnel or contractors.

Customer Content May Be Included in Training

Users should understand that information submitted to Always Memorial LLC may be used as training or evaluation data. This means the stories, memories, recordings, transcripts, conversations, photographs, documents, and other information you provide may contribute to the development and improvement of the technology that powers Always Memorial LLC.

Because family archives may contain personal or sensitive information, you should only submit information that you have the right or appropriate permission to provide to Always Memorial LLC. Where applicable law requires additional consent before certain categories of information can be used for a particular type of processing or training, Always Memorial LLC will seek that consent as required.

Human Review for Training and Improvement

Training and improvement activities may involve human review. Authorized Always Memorial LLC personnel or contractors may review submitted memories, transcripts, recordings, prompts, generated responses, photographs, documents, or other customer information for purposes such as:

  • Evaluating output quality
  • Correcting errors
  • Creating or reviewing training examples
  • Testing model performance
  • Improving retrieval and search
  • Evaluating new features
  • Developing datasets
  • Improving AI-generated responses
  • Developing and improving Always Memorial LLC technology

Accordingly, customers should not submit information with the expectation that it will never be reviewed by authorized Always Memorial LLC personnel.

Deletion and Previously Completed Training

If you request deletion of information from your account, we will handle that request according to the deletion provisions of this Privacy Policy and applicable law. However, deleting the original information from your account may not reverse training, testing, evaluation, or model-development activities that were completed before the deletion request was received.

Information incorporated into previously trained or developed systems may therefore not be removable in the same manner as an individual recording, transcript, photograph, document, or account record. We will comply with additional deletion, consent, or data-rights requirements where required by applicable law.

7. Service Providers and Technology Partners

Always Memorial LLC uses third-party technology companies, contractors, and service providers to help operate, maintain, develop, train, and improve the service.

Depending on the features you use, these providers may assist us with:

  • Cloud hosting
  • Database infrastructure
  • File storage
  • Authentication
  • Audio or video processing
  • Transcription
  • Artificial intelligence
  • AI model training or evaluation
  • Search and retrieval
  • Voice synthesis
  • Email and communications

  • Software infrastructure
  • Other services necessary to operate or improve Always Memorial LLC

Information may be transmitted to or processed by these providers when necessary to perform services on our behalf or assist Always Memorial LLC with the training, testing, evaluation, development, or improvement activities described in this Privacy Policy. The providers involved may change as our technology, services, and business relationships evolve.

8. Family Permissions and Account Administration

Always Memorial LLC is designed to support family stewardship of preserved memories.

Depending on the account and service selected, an account owner, family administrator, designated Next of Kin, or other authorized user may have the ability to:

  • Add family members
  • Remove family members
  • Control permissions
  • Add or edit stories
  • Review memories
  • Approve content
  • Manage Living Legacy features
  • Request exports
  • Request deletion
  • Make other decisions relating to the archive

Different users may therefore have different levels of access to the same family archive. Users with administrative authority should carefully consider whom they authorize to access family information.

9. Information About Other People

Family memories naturally involve more than one person. Content submitted to Always Memorial LLC may therefore include personal information about relatives, friends, caregivers, or other individuals who do not themselves have an Always Memorial LLC account.

If you provide information about another person, you represent that you have an appropriate basis, authority, or permission to provide that information to us and permit its processing as described in this Privacy Policy.

You should use particular care when submitting:

  • Sensitive personal information
  • Recordings of other people
  • Photographs or documents concerning other people
  • Information concerning children
  • Voice recordings
  • Medical or financial information
  • Material that another person would reasonably expect to remain private

Additional permissions or consent may be required for certain features, including synthetic voice or voice-generation features.

10. Security

Always Memorial LLC uses administrative, organizational, and technical measures designed to protect information stored through our service.

Depending on our systems and providers, these measures may include:

  • Account authentication
  • Private file storage
  • Database access controls
  • Customer or family-level access permissions
  • Administrative access controls
  • Infrastructure security protections
  • Monitoring and logging
  • Other safeguards appropriate to our systems

Our systems may use database-level controls, including Row-Level Security or similar technologies, to help prevent one customer from directly accessing another customer's private information through the customer-facing application.

These customer-level access restrictions do not prevent authorized Always Memorial LLC administrators, employees, contractors, service providers, or backend systems from accessing information when reasonably necessary for the purposes described in this Privacy Policy.

No method of electronic storage or transmission can guarantee absolute security.

11. Ownership of Your Memories

As between you and Always Memorial LLC, you retain your ownership rights in the original stories, recordings, photographs, documents, and other content that you provide to us.

You authorize Always Memorial LLC to host, store, reproduce, process, analyze, transcribe, organize, classify, modify for technical purposes, display, retrieve, generate materials from, create technical representations of, and otherwise use submitted content as reasonably necessary to:

  • Provide the service
  • Administer and maintain the service
  • Develop new features
  • Train and fine-tune artificial intelligence systems
  • Test and evaluate our technology
  • Improve Always Memorial LLC products and services
  • Carry out the other purposes described in this Privacy Policy and our applicable agreements

Always Memorial LLC does not obtain ownership of an original family story merely because that story is stored or processed through our service.

Generated materials, software, models, system functionality, algorithms, and other intellectual property may be governed separately by our Terms of Service or other applicable agreements.

12. Exporting Your Memories

We believe families should be able to preserve copies of the memories they entrust to Always Memorial LLC. Depending on your service, Always Memorial LLC may provide digital exports containing available materials from your archive.

Certain services may also include a Digital Keepsake USB or another physical copy containing some or all of the available family archive.

An export may include materials such as:

  • Recordings
  • Transcripts
  • Written stories
  • Photographs
  • Documents
  • Other available memorial information

Receiving an export or Digital Keepsake does not automatically delete information stored by Always Memorial LLC. If you want information removed from our systems, you must separately request deletion.

13. Deletion

An account owner or other appropriately authorized person may request deletion of information from Always Memorial LLC.

When we process a valid deletion request, we will take reasonable steps to remove the applicable information from active systems, subject to our technical capabilities, retention practices, backup systems, legal obligations, previously completed AI training activities, and legitimate business needs.

Some information may remain temporarily or for longer periods in:

  • Backups
  • Disaster-recovery systems
  • Security records
  • System logs
  • Records needed to document transactions or requests
  • Records required for legal or regulatory purposes
  • Other systems where immediate deletion is technically impractical or where continued retention is permitted or required

Deletion of a customer-facing account does not necessarily result in immediate deletion from every technical system or backup. Deletion also may not reverse AI training, testing, fine-tuning, evaluation, or model-development activities completed before the deletion request.

14. Cancellation of Service

Canceling a paid subscription is not necessarily the same as requesting deletion of an account.

Following cancellation, Always Memorial LLC may retain information for a period of time to allow for:

  • Account administration
  • Export
  • Reactivation
  • Customer support
  • Legal compliance
  • Security
  • Backup management
  • Other legitimate business purposes

If you want your archive deleted, you should submit a separate deletion request.

15. Legal Requirements and Protection of the Service

Always Memorial LLC may access, preserve, use, or disclose information when we reasonably believe doing so is necessary to:

  • Comply with applicable law
  • Respond to valid legal process
  • Protect the rights or safety of Always Memorial LLC, our users, or others
  • Investigate fraud, misuse, or security incidents
  • Enforce our agreements
  • Establish, exercise, or defend legal claims
  • Protect the operation and integrity of our services

16. Changes to This Privacy Policy

Always Memorial LLC may update this Privacy Policy as our products, technology, vendors, artificial intelligence systems, and business practices evolve.

When we make changes, we will update the Last Updated date at the top of this Policy.

If a change materially affects how we use information already collected from customers, we will provide notice or obtain consent when required by applicable law.

Continued use of our services following an updated Privacy Policy may be subject to our applicable Terms of Service and applicable law.

We want families to understand that Always Memorial LLC does not operate as a system where customer information is technically inaccessible to us.

Authorized Always Memorial LLC personnel, contractors, technology systems, and service providers may access, process, and review information for the purposes described in this Privacy Policy, including operating the service, supporting customers, conducting quality assurance, developing new features, and training, testing, evaluating, and improving artificial intelligence and other technologies.

Our responsibility is to be transparent about how information is used, protect it appropriately, and give families meaningful information about how the memories they entrust to us are handled.
